Team Sponsorship, Fundraising and Donation Policy

Georgetown Impact Policies

Purpose

Fundraising by individual rep teams helps offset the significant out-of-pocket costs associated with elite athletic participation, making the sport more accessible to athletes and their families. Funds raised may be used to cover additional team expenses that are not included in club registration fees – please see the list of Permitted Expenditures at the end of the Policy.

In addition to providing financial support, fundraising offers athletes valuable opportunities to develop important life skills, including teamwork, communication, goal setting, leadership, and community responsibility.

It is recognized that all funds raised in the name of a GIVC rep team are team funds and must be used solely for the benefit and betterment of the entire team. Such funds are not the property of any individual athlete, parent, or coach and must be managed and expended in a manner that supports the team's approved activities and objectives.

All fundraising activities must adhere to the guidelines set forth in the GIVC & Team Sponsorship, Fundraising and Donation Policy. 

Application

1. Sponsorship (Business Transaction/Contract)

A sponsorship is a formal commercial agreement in which a business provides financial support or value in exchange for commercial return(s) such a promotion, brand awareness, public relations, advertising, sales or marketing benefits (i.e. social media postings, logo use, website posts or apparel branding).

  • Sponsorship funds are considered business income and must be invoiced, recorded and managed by the Club

  • Sponsorships are not donations

  • The Sponsorship Committee will create and maintain a database of the sponsors to be approached and ensure that letters of request are sent to all potential sponsors around  July 1st each year

  • The GIVC actively conducts fundraising activities as an Association and has secured sponsorships from several businesses.  To protect these relationships, teams must not solicit or approach businesses that are current sponsors of the GIVC

  • The GIVC Executive further reserves the right, at its sole discretion, to refuse any sponsorship, or partnership opportunity that it determines to be inconsistent with the values, image, or interests of the GIVC, or that may create a conflict with existing sponsors

2. Fundraising (Event or Group Activity)

Fundraising involved raising money through selling a product or service, activity or event (i.e. 50/50 raffles, community events, car wash, bake sales, raffles, etc.).The public receives a product or experience – not advertising.

  •  Teams may conduct fundraising with prior Club approval.

  • Approved activities can use the Georgetown Impact Volleyball Club name (not logo) for the purpose of club representation

  • Social media can be used to share the fundraising effort including viral videos

  • The purpose of the fundraising must be clearly stated to the public (i.e. being transparent about how and what the money will be used for)

  • All fundraising activities must be offered to the parent group in an open and transparent manner with full details of timing, proceeds and time commitment required

  • All fundraising activities must be discussed and approved by the majority of the team

  •  All fundraising revenues and expenditures shall be properly documented and managed in accordance with basic accounting principles.  Financial records must be maintained in an accurate, transparent and timely manner and are subject to review by team parents and/or the GIVC Executive at any time

  • All funds raised must be deposited into the team’s designated bank account, established in accordance with Schedule A of the GIVC Financial Policy.  All deposits, withdrawals and expenditures must be supported by appropriate documentation. 

3. Donations (Voluntary Gift)

A donation is a voluntary gift given without expectation of promotion, advertising or commercial benefit.

  • Donations can be accepted either for the Club or for a specific team, but they may not be represented or treated as sponsorships

  • Social media can only be used to make direct donation requests

  • A receipt can only be issued by the Club, not by individual teams

Permitted Expenditures

  1. Tournament registration fees

  2. Travel expenses for any coaching staff; see Schedule B of the GIVC Financial Policy

  3. Team meals

  4. Additional costs for practices, extra tournaments, exhibition games and skill development

  5. Travel expenses for National Championships or US tournaments

  6. Coach’s expenses for National Championships or US tournaments (including flights, accommodations, food, transportation, etc.); see Schedule B of the GIVC Financial Policy

  7. Team bonding experiences

Team apparel is NOT an approved expenditure.
